Private Events Policies

Please read these polices carefully. You must adhere to them when having an event at The Faculty Club.

Membership Requirements

A non-member may not bill an event through a member's account. A member's account may only be used for direct family members. Member sponsorship is not required to have an event at The Faculty Club. If your event is to be billed through your membership account, this must be arranged at the time the event is initially booked. Members are eligible for discounts on special events after one year of membership.

Guest Count

We require a guarantee of the number of guests attending your function a minimum of 3 business days (Tuesday) prior to your weekend event. If we do not receive a guarantee number, the expected number will be used as a guarantee number. The Faculty Club will be prepared to serve up to 5% above the guarantee. If the number of guests in attendance exceeds your final count, we will bill you for the total number in attendance.

Deposit and Final Payment

For special events, we ask for a deposit of the room rental, payable immediately upon booking the room. This payment guarantees the date and room reservation. This deposit is refundable up to nine months prior to the event. For special events we require a final payment, based on an estimate, two weeks prior to the event. Payment is by cash or check only. We will estimate the cost of the event based on your guest count. All additional charges will be billed from the Accounting Department following the event, and is payable within 30 days. Any balance due will be refunded by check within 60 days of the event. Members are not required to place a deposit, but must adhere to the above guidelines. Cancellations made after the given deadline date will result in billing of the equivalent of the amount of deposit for non-members to their account.

Food and Beverage Policy

No outside food is allowed in the Faculty Club, except for wedding cakes. A cake cutting and handling fee of $2.00 per person will be charged for cutting cakes. As we work with you planning your menu, we will discuss how much food you should order. As a general rule, hors d'oeuvres are priced at two pieces per person. Food and beverage selections must be confirmed four weeks in advance. Fifteen dollars is the minimum price per person for food. All alcoholic beverages brought into the Faculty Club will have a corkage fee. The corkage is $15 per 750ml bottle.

Parking

The Faculty Club will arrange for parking through the U.C. Parking Office. This includes a directional map for guests and an attendant to provide your guests with permits and direct them to parking. The fee for this service is $10.00 per car plus a $100.00 fee for the attendant (Prices subject to change). This service is available only on weekday evenings starting after 5:30pm, and on weekends, and must be scheduled at least two weeks in advance. The Faculty Club cannot promise any given lot or spaces to any given party. The designated lot will be determined by the U.C. Parking Office and confirmed to The Faculty Club sales office. Every car on campus must have a permit. Failure to do so will result in a citation. The Faculty Club is not responsible for any citations issued.

Staffed Station Fee

A $60.00 fee will be charged for each staffed food station. Limited stations are available. A $75.00 fee will be charged for each staffed bar for up to 3 hours. A $20.00 per hour fee will be charged for any time after 3 hours.

Timing and Holidays

When you book a room at the Club, you have it reserved for up to six hours. If your group stays over six hours, we will charge $200.00 for each additional hour, or any part thereof. The Faculty Club reserves the right to book several events on any given day. The reservation of a banquet room by one group does not guarantee exclusive use of the entire club for the day of the event. On holidays, there will be an additional labor charge added to your total food and beverage bill in order to pay for higher holiday wages.

Music and Dancing

We must know your plans in advance. Rental of a dance floor is required for dancing in the Seaborg Room and the Heyns Room. Out of consideration for our hotel guests, all music must end by 11:00 PM.

Vendors

We are happy to provide lists of references for florists, musicians, bakers, and photographers with whom we have working experience. Vendor meals must be included in your final count guarantee.

Decorating

You may decorate the Club as you wish, but we must be informed of your plans in advance. Use of tacks, nails and staples in Club walls is not permitted. Should your florist or decorator use tacks or nails, you will be charged for damages. Candles are permitted as long as the flames are covered by glass by at least two inches. You are responsible for all your personal items. A cleaning fee will be charged for any items left at The Faculty Club.

Lost Items

The Faculty Club is not responsible for any lost items or items left behind by you, your guests, or your vendors. No items may be left at the Faculty Club following the event. Please plan on having someone in your party perform a thorough walk-through after your function to pick up any leftover items such as flowers, coats, shoes, candles, etc.
